How You'll Perform the Role

The Sample Room Coordinator will provide administrative support and daily coordination for Novolex sample inventory, orders and shipping operations. Accurate, independent, and repeatable daily duties in this position are critical to excel in this position.

The Sample Room Coordinator ensures that sample needs of customers, sales representatives, and product development departments are met in a timely and professional manner. Additionally, the position requires management of on-hand inventory and processing sample orders to restock the sample room as needed.

Primary Responsibilities:

  • Inventory and Quality Control
    • Verifies quality of samples to ensure highest level of product quality in the sample inventory.
    • Order, receives and inspect each sample received from Novolex facilities, to ensure product quality. Verifies contents, checks quality and puts into inventory.
    • Manages projects such as sample inventory cycle counts, general data review, and data cleanup.
    • Catalogs and organizes sales collateral.
  • Kit production
    • Builds stock kits ordered regularly.
    • Collecting samples and literature and tabletops or booths for sending out for a tradeshow evaluate the best shipping method to keep transportation costs under control.
  • Order Fulfillment
    • Fulfills sample orders (pick, pack and ship) from sales, customer service and customers.
    • Restocks shipping materials and stock product from overstock area.
    • Uses online tools to prepare shipping labels using various shipping carriers to ship nationally and internationally.
    • Places boxes for pick for by carrier in shipping area.
    • Packs skids for LTL or large shipments.
  • Order Notification
    • Notifies recipients of tracking information using online system (Service Now) and via email
  • Product Donations
    • Receive and facilitate local product donation request
    • Record on company donation tracking

What We Need From You

  • Demonstrates strong organizational skills and the ability to multi-task and project manage under tight deadlines.
  • Excellent attention to detail and strong visualization skills.
  • Self-disciplined.
  • Problem-solving skills with the ability to use available resources to solve issues.
  • Must be able to learn new technology, including new/updated software and hardware.
  • Organized multitasker who works well in a fast-paced environment
  • Ability to lift 50 lbs consistently
  • High School degree (or equivalent) or higher
  • Computer skills: Familiarity with Microsoft Outlook, Excel and Word
  • Familiarity of shipping tools (UPS, FedEx, USPS, LTL)
  • Ability to stand or sit for period of time
  • Willingness to learn and to grow with the company
