Wieland is hiring an Executive Assistant. The Executive Assistant will report directly to the President of Wieland Copper Products & Executive VP Thermal Solutions. The role responsibilities will be to provide executive support to the President and the Factory Leadership Team, serve as the primary point of contact for internal and external stakeholders on all matters pertaining to the Office of the President and liaison to the Thermal Solutions management teams and other business unit Leaders. This role will sit at our Pine Hall, NC facility.

Responsibilities

Executive Assistant Responsibilities:

    Primary function will be supporting the President in completing a broad variety of administrative tasks, such as managing a calendar of appointments and meetings, preparing expense reports, writing correspondence and confidential communications, drafting and reviewing acknowledgement letters, presentations, reports, and other reporting assignment
  • Plans, coordinates, and ensures the President's schedule is followed and respected.
  • Arranges travel plans, itineraries, and meeting agendas. When needed, the Executive Assistant will be required to support Senior Leaders and Plant employees to arrange domestic and international travel.
  • Communicates directly, and on behalf of the President, with internal and external stakeholders, departments, and senior staff management.
  • When needed, it is required to participate in on-site meetings and events across the Wieland Thermal Solutions NA locations, scheduling and attending meetings, preparing documentation, writing minutes and coordinating food/beverage catering.
  • The Executive Assistant will be point of contact for local hotels, rental cars, and restaurants, negotiating rates, make reservations, processing bills, etc..
  • Maintains regular communication with business partner agencies and manages calendar of and team participation in events with chamber of commerce, colleges, schools, etc.
  • Collaborates with local site leadership teams and US and German Communication & Marketing Teams on Social Media Presence.
  • Participates and collaborates with each Site's Cultural Committees.
  • Works with leadership and Purchasing groups to order a variety of company logo merchandise.
  • Coordinates communication with and related to short-term and long-term visitors

Executive Assistant Qualifications:

  • Strong organizational skills.
  • Ability to perform and prioritize multiple tasks with excellent attention to detail.
  • Very strong interpersonal skills and the ability to build relationships with stakeholders, including staff and external partners.
  • Expert level written and verbal communication skills.
  • Emotional maturity
  • Highly resourceful team-player.
  • Discretion and confidentiality skills, adaptability and proven demonstrated high level of customer/client service and response.
  • Bachelor's degree in Business Administration or equivalent experience
  • Five to ten years of experience supporting senior management levels.
  • Professional Appearance and Behavior
  • Proficient in Microsoft Office (Outlook, Word, Excel, and Power Point), Adobe Acrobat, and Social Media web platforms.
  • Fluency in English.
  • Ability to travel, up to 10%.
